Guidelines


SOUNDCHECK

Thank you for communicating your technical set up and/or needs. If you wish to book a soundcheck with the Watchmen tech team, please submit your preferred time via the form linked below. The tech team will be checking the sheet and assigning members to match your time selection. Please note that it is your responsibility to follow up on the sheet and show up at your agreed time - reminders will not be sent.

All worship teams, please ensure that your original sound function on Zoom is TURNED ON when entering soundcheck AND when leading your sessions. This is a function that CANNOT be controlled remotely by our tech team, so please ensure that this is maintained on your end.

 

PRE-RECORDED SESSIONS

  • Record your file in 720p

  • Upload the file to our shared Google Drive at least 24 hours before the time slot allocated to you on the schedule

  • Title the file with your name, country & language

Please begin and end your recording with just instrumental (no voice) for at least 2 minutes to help us facilitate smooth transitions.

Remember to:

  • Choose a quiet space where you will not be interrupted

  • Ensure the space is well lit (avoid back light)

  • De-clutter the space you will be using

  • Dress appropriately

  • Remain aware of bodily expressions and gestures throughout 

 

WORSHIP LEADING

  • Song selection: focus on Jesus

  • Start your sessions with songs of thanksgiving

  • Start your sessions with a lower dynamic and end with a clear musical ending to facilitate smooth transitions 

 

COORDINATORS

Please be reminded that you are solely responsible for all of the individuals/teams participating from your region. Should an issue arise, you will be the tech and/or admin team’s first point of contact. You are asked to keep an eye out for contingencies before and during the session(s) your region is leading.

While we do not anticipate this, if for any reason a team is unable to lead, it is your responsibility to inform us ahead of time to prepare for replacements. Delay or failure to do so will pose an arduous challenge for our tech team. Let’s try avoiding that :)

 

JOINING A SESSION

Please join the Zoom “hall” 10 minutes before your slot and ensure that your Original Sound function on Zoom is TURNED ON. This is a function that CANNOT be controlled remotely by our tech team, so please ensure that this is maintained on your end.

The tech team will control your video settings. Please do not turn it on yourself. The tech team will unmute you when your session begins. We encourage you to begin worshipping with the team before your session begins to facilitate smooth transitions.

How do I join?

Please join the hall as an attendee 10 minutes prior to your session and the tech team will upgrade you to a Panelist to enable video and audio sharing.

If you or your friends would like to watch the event, please invite them to tune in via the public broadcast on YouTube.

How should I act when on video?

As you would on a live broadcast. Please refer to the section below for more details.

Please try to complete all set-up by the time you enter the room — whatever you do from the moment your video is turned on will be broadcasted live.

EXTRA NOTE: YOUTUBE RESET

Please note that the YouTube stream will reset every 24 hours. For this reason, if your session coincides with the reset time, you might be logged out briefly but will be allowed to re-enter the room. It will only take 1-2 minutes. The tech team is working in shifts around the clock. Assistance will be available 24 hours across the 10 days.

 

WHEN LEADING

Please present yourselves as you would on a live broadcast

While we are offering our worship to an audience of ONE, please remember that there will be thousands tuning in ;)

How should I prepare?

  • Choose a quiet space where you will not be interrupted

  • Dress appropriately

  • Remain aware of bodily expressions and gestures throughout

Assign an assistant to help you throughout the duration of your session

Your assistant should be checking the phone that you have been using to communicate with us. Please do not send requests with an unknown number.

Why do I need an assistant?

  • To ensure that the tech team can reach you should any audio/video issues arise while you are leading, and that you have a way to request help without stopping your session.

  • To confirm that your session is broadcasting smoothly on Youtube.

EXTRA NOTE: WHO IS THE “HOST” IN THE ZOOM HALL?

A member of the tech team will be present as “Host” during your session.

Hosts are present to ensure that the Zoom room is open to you and well connected to the live broadcast, but they will remain largely passive. They will reach out to your assistant ONLY if an issue arises. 

 

WRAPPING-UP

Please end the last 1-2 minutes with instrumental worship as the next team prepares to transition. A clear musical ending will be the cue for the tech team to “Spotlight” the next team to begin.

Am I allowed to go slightly over my assigned time? Yes. A maximum of 5 minutes is allowed. Please have your assistant remain cognizant of time. The Host might intervene if your session goes too far beyond the ~60 minutes.
